APA
The Advance Provisioning Allowance for each charter: the money in, every account (bank, cards, prepaid card, cash), every receipt, petty cash vouchers, the fuel charge and the statement for the broker. Snap a receipt and the AI fills in the entry; the balance and the warning level follow by themselves.
What it does
- One APA per charter with its own currency, period and low-balance warning
- Accounts: bank account, cards, prepaid card and cash, each with its running balance
- Funds in, cash withdrawals and deposits, and transfers between accounts (bank to card or prepaid card) - the total stays the same, each balance moves
- Receipts: take a photo or attach a PDF; the AI reads date, supplier, amount, currency, category, document number and description into the entry - you check and save
- Foreign currency entries with the exchange rate, value shown in the APA currency
- Petty cash vouchers for tips, line handlers and taxis: amount, what for, signed with a finger by the approver and the person paid (or "refused to sign"), numbered in sequence, added to the APA by themselves, with a PDF
- Charter fuel charge: engine and generator hours from the engine log times litres per hour times the price of the last bunkering, plus tender and jet ski - confirmed by the Captain, with a fuel invoice PDF
- Reconciliation worksheet filled from the logs: engine hours, nautical miles, ports visited, dockage
- Statement summary as charter statements are laid out, spending by category, and the statement PDF; Excel and CSV export
- Crew gratuity guide on the Summary: 5, 10 and 15 % of the charter fee (your own range), shown on the statement if you choose, and gratuities received kept apart from the APA
- Top-up request drafted from the balance and the days left
- Close the APA when the charter ends (locked); reopen only by the Captain or management, with a reason in the log
Connects to
Just ask the AI Assistant
- How much is left on the APA?
- Create a receipt: 50 EUR gratuity for the line handlers in Portofino.
- Draft a top-up request for the APA.
Anything it would change comes back as a card first. Nothing is saved until you press Approve.
Why it mattersThe APA is the charterer's money and every euro has to be accounted for, usually in a spreadsheet and a shoebox of receipts. Here each receipt is read as it comes in, the accounts balance as you go, and the statement is ready on the last day.

Your documents stay yours.
Receipts, quotes, certificates and signatures are business records. They are kept like it.
A folder per vessel
Every file - certificate, quote, receipt, voucher, photo - is stored in its own vessel’s folder for its module. One vessel’s files never sit with another’s.
Private storage
Files are not public. The storage is private, so there is no open link to find or guess - reading a file is always checked against your login.
Signed links that expire
A file opens through a signed link that lasts 10 minutes, made only after the server checks that your login may see the record it belongs to. Crew permissions apply to files too; APA files only open for logins with APA access.
